Vagaro has launched enhanced SOAP Notes and Custom Fields designed to connect patient intake, treatment documentation, product tracking, inventory management, consent forms, and checkout for medical spas.
Vagaro has launched enhanced SOAP Notes and Custom Fields, two HIPAA-compliant features for medical spas intended to support clinical documentation and patient record management. The company said nearly 4 million medical spa appointments have been scheduled through Vagaro year to date.
SOAP Notes Add Visual Treatment Documentation
The enhanced SOAP Notes feature allows providers to capture before-and-after photos during appointments and mark treatment areas directly on the images. Practitioners can use the markings to document injection points, laser zones, or other areas of concern.
Providers can also assign products and quantities to specific areas marked on an image, creating a record of the products used and their application locations. Product assignments are tracked within Vagaro and carried through to checkout, connecting treatment documentation with inventory and billing.
The updated SOAP Notes also include reusable dot phrases intended to speed documentation and support consistency across patient records.
Custom Fields Expand Patient Record Collection
Custom Fields allow medical spas to collect and manage electronic patient information through intake and consultation forms. Information can include allergies, medications, skin type, treatment history, and other factors, with the data stored in the patient’s profile.
According to Vagaro, the feature is intended to standardize how patient information is recorded and accessed across providers and locations. It also allows practices to gather information before appointments.
Features Connect Documentation With Practice Operations
Together, the enhanced SOAP Notes and Custom Fields connect patient intake, treatment documentation, injectable and product tracking, inventory management, digital consent forms, and checkout within Vagaro’s platform.
“These features are designed to reflect how med spas actually work,” Vagaro CEO Fred Helou said in a release. “By connecting what happens in the treatment room directly to inventory and checkout, we’re helping practices protect their patients, improve accuracy, save time, and operate more effectively.”
